What a team day returns to HR.

A team day is a logistics problem wearing a photography costume. The photography is straightforward; getting 30 busy people through a chair on schedule, all lit identically, is the part that takes planning.

  • One retouched headshot per person, delivered as 300 DPI TIFF plus square, circular-safe and 16:9 JPEG crops.
  • A per-person proof gallery of eight to twelve frames so each employee picks their own final rather than being assigned one.
  • Identical background, lighting and crop across the whole roster, so the team page reads as one grid.
  • Fifteen to 25 environmental frames of the workspace, meeting rooms and people working, shot between headshot blocks.
  • Six to ten candid group frames for the careers page and recruiting decks.
  • A file-naming scheme matched to your HR system, plus a CSV mapping employee name to file path.

Moving 30 people through in a day.

  1. 8:00 AM
    Load-in

    We arrive ninety minutes before the first sitting, build the portable studio in the room agreed on the site visit, and shoot a test subject from your team.

  2. 9:30 AM
    First block

    Sittings run on a published schedule at six to eight minutes per person, in blocks of ten with a ten-minute reset between blocks.

  3. 12:30 PM
    Environmental hour

    While the team is at lunch we shoot the space itself — desks, meeting rooms, the kitchen, anything the careers page needs.

  4. 4:30 PM
    Wrap and stragglers

    The last half hour is deliberately unbooked for the people who were pulled into a client call. Nobody gets left off the team page.

  5. Day 5–7
    Delivery window

    Individual proof links go out within three business days, and retouched finals follow inside seven business days of selections closing.

Briefing the team before the day.

Send the wardrobe note and the schedule together, a week out. The single biggest cause of a slipping team day is people arriving without knowing they were booked, and the second is a room with a window we cannot control.

  • A room with 12 feet of clear length, one power outlet and a door that closes.
  • A booking sheet with names, job titles and time slots, circulated to the team at least a week ahead.
  • A short wardrobe note to staff — solid mid-tones, no busy patterns, jacket optional but useful.
  • A named coordinator on the day who can chase whoever is missing from their slot.
  • Your existing team page, so we can match crop and background if you are only refreshing part of the roster.
  • A decision on whether new starters get a top-up session quarterly or annually.

Law firm, 34 people

Thirty-four sittings across one day at seven minutes each: 34 finals, 340 proofs, 22 environmental frames and a CSV mapped to their intranet.

Eighteen headshots in a half day plus a full afternoon of culture coverage: 18 finals, 46 candid frames and nine group shots for the careers page.

Six new starters matched to a roster shot nine months earlier: same background, same lighting, six finals delivered in four business days.

Team delivery and employer licence.

Proof links reach each employee within three business days, and finals are delivered seven business days after selections close — for a 30-person roster, plan on two and a half weeks end to end. A pre-agreed automatic select is available for teams that will not chase their own selections, where we simply choose the strongest frame per person. Rush handling of a single executive portrait ahead of the roster is always possible at no extra charge.

The company holds a perpetual licence for all internal and external business use: website, press, decks, recruiting, trade media and conference programmes. Each employee is separately licensed to use their own portrait personally, including after they leave, which we state in writing so HR never has to arbitrate it. Employee portraits are never used in CRTE marketing without individual written consent, regardless of what the company agreement says.
